Position Overview:

We are seeking a highly motivated and organized Intern to join our Inspection Services Department (ISD). This internship provides a unique opportunity to assist with various administrative and customer service functions while gaining valuable experience in a municipal office setting. The ISD Intern will support daily operations by performing filing, shredding, organizing documents, answering phone calls, and assisting the team with contractor permits related to electrical, plumbing, and building services. This position requires excellent attention to detail, strong communication skills, and a proactive attitude in supporting our department and ensuring smooth customer interactions.


Key Responsibilities:

  1. Administrative Support:
  • Assist with filing, organizing, and maintaining physical and digital records.
  • Shred sensitive documents according to the department's confidentiality policies.
  • Organize and label documents to maintain an orderly filing system for easy access and retrieval.
  1. Customer Service:
  • Answer phone calls, direct inquiries, and provide information about building, electrical, plumbing, and contractor permits.
  • Assist staff with responding to customer requests or concerns, ensuring courteous and helpful service.
  • Communicate effectively with contractors and the public, providing clarity on departmental processes and requirements.
  1. Permit Assistance:
  • Support the department team in processing applications and requests for electrical, plumbing, building, and other contractor permits.
  • Prepare and track paperwork related to permits, ensuring timely completion and filing.
  • Assist with basic research related to permitting requirements and departmental policies.
  1. Office Organization:
  • Maintain the department's internal workspace by organizing materials, supplies, and equipment.
  • Ensure that necessary office supplies are stocked and readily available to staff members.
  1. General Office Support:
  • Assist with general administrative tasks, including scheduling, data entry, and coordinating meetings.
  • Help manage and organize department communication, both internally and with external contacts.
  • Perform any other duties or special projects as assigned by department supervisors.

Required Skills and Qualifications:

  • Current enrollment in a relevant program (e.g., business administration, public administration, or a related field) or equivalent experience.
  • Strong organizational skills with the ability to manage multiple tasks.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information responsibly and with discretion.
  • Proficient in basic office software, including Microsoft Office Suite (Word, Excel, Outlook).
  • Detail-oriented, with the ability to maintain accurate records and follow up on tasks.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Professional demeanor when interacting with customers, contractors, and team members.

Preferred Qualifications:

  • Previous experience in an office environment or customer service role is a plus.
  • Familiarity with permitting or inspection services is an advantage but not required.

We will meet from 8:00 AM to 5:00 PM every Mon, Tue, Wed, & Thu starting on 7/1/2025 and ending on 8/30/2025

We will not meet on the following dates: 7/4/2025
