  • Data Entry & Paperwork Management:
  • Process and enter client information into the appropriate MassHealth database systems.
  • Maintain accurate and organized files for client applications, eligibility status, and correspondence.
  • Ensure all forms are properly completed and filed, following MassHealth guidelines.
  • Assist in managing and tracking pending applications or renewals for MassHealth coverage.


  • Client Interaction:
  • Provide friendly and professional customer service to community members, answering phone calls and emails regarding MassHealth services.
  • Communicate with clients in person or via phone to clarify questions about the application process and needed documentation.
  • Follow up with clients to ensure that all required materials for MassHealth applications are submitted on time.


  • Administrative Support:
  • Prepare and organize documents, forms, and client information for review and processing by MassHealth staff.
  • Assist in scheduling appointments for clients to meet with program coordinators.
  • Assist with office duties such as filing, photocopying, and scanning client documents.
  • Manage office supplies, ensuring that the necessary forms and materials are available for staff and clients.


  • Collaboration & Reporting:
  • Collaborate with other City Hall departments to ensure seamless delivery of MassHealth services.
  • Report to the Health Services Coordinator about client progress, documentation status, and any issues encountered.
  • Provide feedback on improving the MassHealth process and client experience based on observations and interactions.


Qualifications:


  • Skills & Abilities:
  • Strong attention to detail and ability to process forms and paperwork accurately.
  • Excellent communication skills, both written and verbal.
  • Customer service skills, with a friendly and patient demeanor.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), with the ability to learn new software quickly.
  • Ability to manage multiple tasks and work in a fast-paced, deadline-driven environment.


  • Experience:
  • Previous experience in administrative support, data entry, or customer service is preferred.
  • Experience working in government or healthcare-related roles (e.g., MassHealth, Medicaid, or other public assistance programs) is a plus.


  • Additional Requirements:
  • Must be at least 16 years old.
  • Strong organizational skills and the ability to maintain confidential information.
  • Ability to work independently and as part of a team.


Preferred Qualifications:

  • Bilingual skills (e.g., Spanish, Haitian Creole, or Portuguese) are a plus, as they can help in communicating with a diverse community.
  • Familiarity with MassHealth programs and application processes is highly desirable.
  • Prior experience in a government or social services office setting is an asset.
